We recommend a user with SysAdmin role. At a minimum, the user needs to be a full staff user with at least Level 4 access in Membership, Events, Dues, Orders, and Certification to make use of all actions in Zapier for iMIS.
According to Zapier.com, "a Zap is an automated workflow that connects your apps and services together. Each Zap consists of a trigger and one or more actions. When you turn your Zap on, it will run the action steps every time the trigger event occurs."
According to Zapier.com, a Task is an action your Zap successfully completes. For example, if your Zap has an action to create new Google Contacts, each contact that is created will count as one Task."
  • All successful action steps.
  • Any successful step within an error handler path.
  • In search actions, you can decide whether the Zap should proceed if nothing is found. If you select:
    • Yes, the search action will use 1 task.
    • No, the search action won't use any tasks.

Overage tasks are charged at a rate of 1.25 times the plan's task cost. For example, the “Professional” level of Zapier is $89/mo for 5,000 tasks per month.

The equation for overage tasks is as follows:
$89 / 5,000 = 0.0178
$0.0178 x 1.25 = $0.02225 per overage task.

Pay-per-task can be enabled or disabled in the Billing and usage page. Once updated they will need to click on Update your plan.

When Zapier sends a request to another app, it will wait for an OK/error response before moving on to the next step. But, it can't wait forever - actually it usually only waits for 30 seconds. If after that time, it's not received any response from the app's API, it assumes there has been a problem and sends you an error message.

What causes a Zapier timeout error?

99% of the time, it's caused by temporary downtime at the app Zapier is connecting to. Or if the API is receiving too much data from other apps.

However, two things might have happened:

Nothing - the app Zapier is connecting to is down and what you wanted to happen, didn't happen.
The action you wanted to happen (like adding a new row to a Google Sheet) was successful, but the app's API wasn't able to send a response message to Zapier, so you got an error.

How to fix a Zapier timeout error

You'll want to check the Zap History, because if it's the former of the above options, you might not want to do anything. Also, if nothing shows in the Zap History then most likely the timeout occurred at the trigger level and will pull what was missed at its next polling interval.

If the error is showing in Zap History, you can replay the zap.
